Job Description

PTA Emergency Preparedness Chairs support schools and staff in preparing for emergencies and disasters.Your role is:

  • Management of school emergency supplies
  • Preparedness education
  • Participation in drills

Getting Started

You are now part of a networking group of all the PTSA Emergency Chairs for the district. We encourage you to attend the meetings facilitated by the LWSD PTSA Council Emergency Committee. We meet four times a year at the LWSD Resource Center at Redmond Towne Center. Please refer to the meeting dates and topics in Appendix III of this handbook. These meetings will help you understand your role and you will learn much from your peers who have lots of tips and knowledge to share.

  • Ways to meet your administrator for the first time
  • Introduce your self to the administrative staff and ask them who your contact will be for Emprep.
  • Attend school events the administrator will likely attend and introduce yourself.
  • Make a request by email
  • Talking with administrator in charge of Emprep – it is not always the principal
  • Introduce yourself as the new PTSA Emergency Prep. Chair.
  • Present him/her with the current inventory list of supplies.
  • Ask if you can be on the school safety committee.
  • Ask if you can review a copy of their filled in  ICS chart.
  • October 15th is the State deadline for this to be completed each year.
  • ID and arrange to train/orient “Logistics/Supplies” person.
  • Ask about current structure of school emergency plan
  • Ask about their priorities for “preparing” to help prioritize your supplies purchases.
  • Be “non-threatening” when making requests and patiently wait for a response.

Funding

Ways to purchase your supplies:

  • Reimbursement – you purchase with your funds then turn in receipts to your PTSA treasurer for reimbursement.
PTSA Pay Direct – the company sends a bill you submit to your PTSA treasurer for payment.
    Granting
  • Check with your PTA treasurer prior to the purchase of goods using PTA funds so that you know the proper process to use.
  • The majority of schools have a line item in their PTSA budget. Talk to your board about your budget. One basic thought is to budget at least $1/student.

 Donations

You can always ask for donations (games for student care; clothing from lost & found area; tents; tarps; etc.) Also, some schools ask for specific donations of money for eprep. Water & food should be purchased from a supplier unless given for by a parent for a specific student (see Appendix VII regarding special needs supplies).
